Establish what each instruction describes

A hotel may explain where guests can wait, while a transport proposal identifies where collection is possible. Read both instructions carefully. If they differ, ask the relevant contacts to clarify the arrangement before directing the whole party to either place.

Avoid treating a familiar landmark as proof of access. A recognisable building or entrance helps describe a location, but the provider still needs to confirm the practical collection arrangement. Follow current on-site directions rather than relying on an older photograph or another traveller's experience.

Consider the movement of the whole party

If an off-site assembly point is proposed, explain any needs that affect getting there. Keep the description practical: the people travelling, equipment they will use and whether everyone can assemble together. Ask what the arrangement requires rather than assuming that transport includes assistance from the room to the vehicle.

Check how the meeting point will be communicated to the people who are joining you. A map pin is helpful only when the group knows which description it belongs to. Retain a written reference and identify the adult who will contact the provider if the party cannot locate the agreed point.

Confirm before changing the starting place

If the party prefers a different collection point, request a review through the booking channel. Do not simply move and expect the driver to find the group. The alternative may change the service or may not be possible under the current arrangements.
