If the passenger groups will change for the return, review capacities again. A child joining another household or a traveller leaving separately changes the actual load. Send amendments through the appropriate booking channel and obtain confirmation rather than relying on a conversation within the family.
Keep one shared overview and two precise vehicle plans. The overview explains the intended visit; each vehicle plan identifies who and what it carries. This allows a larger party to act together without losing the detail that makes each individual journey workable.
