Build the visiting party from the households
Ask each household who is coming, including children and companions. Keep anyone joining later visible in the request. A vehicle that appears suitable at the first pickup still needs to accommodate the full party once all agreed passengers are present.

If someone decides not to attend, update the arrangement through the established channel where necessary. Do not repeatedly change vehicle plans within the family without telling the person handling the booking. A precise visiting count makes the comparison more useful and gives the outing a stable starting point: the right people accounted for, on the right stages, with the items they actually intend to bring.
